Now, one might think that it would be extremely easy to pick a self storage management software and just run with it but, every facility owner should do their research and make a well educated decision in choosing the proper software for their facility or facilities needs.

This “web based” self storage management software is service based software that runs through your computers internet browser. This type of software is extremely convenient being that it is ran directly through your computers internet connection and can be accessed on any computer that you have available. The web based software is particularly convenient because the owners can tap in to the software web site and monitor the facilities productivity and day to day operations simply by signing in. This is great because all of the facilities information is located on the web and not on a particular computer which means if your computer goes down for the count, you can easily access your facilities information on another computer.
However like any good thing, there are also cons to the web based self storage management software as well. Being that the software is web based it is absolutely necessary that you have a working internet connection to run your facilities day to day business. So, if your internet connection goes down that means your management software goes down too which impairs the facility operator from doing their job for the length of time the internet connection is down. This also means that if our internet connection is down while you are trying to rent a unit there is a possibility that you can lose business because of an element that you can’t control. Web based self storage management software generally also comes with a monthly fee. Rather than purchasing a license to the software you are using on the day to day you are purchasing a monthly subscription to the web services that are provided by the software company. Another flaw to that in my opinion is a simple question… What if the web based servers that are running your facilities day to day go down? Just some food for thought. Even though technology has come a long way it does not mean that it is fool proof.
Now that you know about web based self storage management software lets talk about the second type of self storage management software that is available. This second type of software is called “desktop” software. Desktop software is software that is installed directly onto your computer’s hard drive and it works by purchasing a license to the software so all of the facilities information is stored directly on the facility’s computer and accessed directly from the computer that is running the software. This software in my opinion is great because whether your internet connection is working or not, you are still able to access your self storage management software and are not relying entirely on your internet connection to run your facility. So if the facilities internet connection does go down at least you are able to access your software, rent units, take cash and check payments and perform day to day operations.
Now we brisk the downsides to “desktop” software which again purely in my opinion is not detrimentally negative because there are fail-safe actions that can be take to the desktop software flaws. The first downside to desktop software would have to be the fact that if your computer goes down or your hard drive burns out the self storage management software goes down with the computer.
But fear not, as long as your facility backs up the information from the desktop self storage management software to USB flash drives or use a program to back up information such as Carbonite it is quite easy to recover the facilities information once you fix or replace the broken computer. Another downside to desktop self storage management software would be that the only way to access the facilities self storage management software would be through access to the facilities computer only. Fear not because with technology such as remote access it is not very hard to access your facilities computer from any computer by installing remote access from computer to computer. Remote access is a very easy thing to do and windows based computers have them built right into their operating systems for ease of access. There are also many different free third party programs that can be installed which are very simple to use as well.
Now that we know the run around on the two major different types of self storage management software it becomes a personal decision in which software to pick for your facility. Keep in mind that both Web based as well as desktop based software are great for most all self storage facilities but the decision comes down to how you want to run your facility. Do you want to run your facility through the world wide web and store your facilities data via cloud where you never have to worry about where it goes and always be able to access it where you may be? Who knows you may enjoy new technology and like to keep up with the Jones so to speak. Or are you the type of self storage operator that likes all of your facilities information on site and on hand so you can run your company from the office and never have to depend purely on your internet connection to run the day to day functions of your business. Either way the choice is yours to make but it is great to know that there are options to pick from when it comes down to running your facility or facilities.
